These Terms & Conditions ("Terms") govern your use of our website and services ("Services"), operated by Studio Phini Ltd ("we," "our," or "us"). By accessing or using our Services, you agree to these Terms. A separate Client Agreement will be issued at the point of accepting and paying your quote, which must be signed before any work begins.
1. Bookings & Payments
1.1 Payment Terms: Payment terms are confirmed on a per-project basis and outlined in your proposal or invoice. All payments must be received in full before your garment is returned to you. Payment terms cannot be amended once agreed.
1.2 Refunds: Every Phini project is entirely bespoke. By signing the Client Agreement, you confirm your understanding that no refunds are offered once a project is underway, except where an item is clearly faulty or unwearable — as assessed and confirmed by our team. Where a client is dissatisfied, Phini will work to find a considered solution.
1.3 Dyeing & Specialist Processes: Slight variation in colour or finish is an inherent characteristic of specialist processes such as dyeing and cannot be guaranteed against. While Studio Phini Ltd cannot be held liable for such variation, we will always endeavour to deliver the highest standard of finish and will work with you toward a resolution where possible. Clients must submit only clean garments — existing staining or soiling may affect the final result and will be flagged before work proceeds.
1.4 Measurements & In-Person Appointments: Clients are responsible for providing accurate measurements. We will always advise clearly where an in-person appointment is required — for complex or precision work, this is non-negotiable, and Phini reserves the right to decline a project where an in-person consultation cannot be accommodated. Incorrect measurements can be significantly detrimental to the outcome of a bespoke piece, and this requirement exists to protect both the garment and the result. Our team is available to guide you at every stage. If a completed piece matches the measurements provided but does not fit as expected, further alterations may be subject to additional cost.
2. Project Scope & Changes
2.1 Scope of Work: The scope of each project is agreed and confirmed at the point of booking. Once work has begun, changes to the brief are not accepted as standard and will in almost all cases incur an additional cost. If you wish to request an amendment, please contact us as soon as possible — the earlier we are made aware, the better placed we are to advise on feasibility and any revised pricing. Any agreed changes will be confirmed in writing before proceeding.
2.2 Garment Condition on Receipt: Upon receiving your garment, Studio Phini Ltd will photograph and document its condition before any work begins. A record of this will be shared with you. This process exists to ensure full transparency and to protect both parties. Any pre-existing damage, wear, or alteration will be noted and confirmed with you prior to proceeding.
3. Timelines
3.1 Estimated Timelines: Project timelines are provided as estimates within your proposal. Due to the bespoke nature of our work — which may involve fittings, specialist processes, and sourcing — timelines are subject to change and Studio Phini Ltd cannot be held responsible for delays beyond our reasonable control.
3.2 Communication: We are committed to keeping you informed throughout your project. Any changes to an estimated timeline will be communicated to you promptly. We take pride in delivering every project with the care and precision it deserves, and will always endeavour to meet the timeframe agreed.
4. Shipping & Handling
Studio Phini Ltd coordinates all shipping on behalf of our clients, both to and from our studio. Every garment in our care is fully insured in transit, handled with the attention it deserves, and returned to you via a tracked, insured service. Full details of your shipping arrangements will be confirmed as part of your project.
In the unlikely event of loss or damage in transit, Studio Phini Ltd will manage the claims process on your behalf. Our team will keep you informed throughout and work toward the best possible resolution.
5. Intellectual Property
5.1 Trademark: The Phini name and logo are registered trademarks of Studio Phini Ltd. Unauthorised use of either is strictly prohibited.
5.2 Our Work: All designs, concepts, sketches, and completed pieces created by Phini's team are protected under copyright law and remain the intellectual property of their creator. By engaging our services, you agree not to copy, reproduce, or distribute any work — or take a concept to another maker for replication — without prior written consent. Unauthorised use may result in legal action.
5.3 Our Content: All website content, including text, graphics, and logos, is owned by Studio Phini Ltd or its licensors and protected under UK copyright law. A limited, non-exclusive licence is granted for personal use only. Reproduction, distribution, or modification requires our written consent.
5.4 Media & Promotional Use: By engaging Phini's services, you grant us a non-exclusive, royalty-free, worldwide licence to use images or content relating to your project for promotional purposes — including press, social media, and advertising. We will endeavour to credit clients where appropriate; attribution in external publications remains at the discretion of the outlet.

6. Privacy & Data
6.1 Data Protection: Studio Phini Ltd complies with UK GDPR regulations. By engaging our services, you consent to your personal data being used for the purposes of project delivery and communication. 7. General
7.1 Amendments: These Terms may be updated at any time. Notice will be provided where changes are material.
7.2 Disputes: In the event of a disagreement regarding costs or service quality, Studio Phini Ltd's reasonable determination will be final. We are not obligated to reimburse costs or provide additional services unless explicitly agreed in writing.
7.3 Liability: To the extent permitted by law, Studio Phini Ltd is not liable for dissatisfaction with a project's outcome; loss, damage, or alteration of items during or after the process; or any direct, indirect, or consequential damages arising from use of our services.
7.4 Governing Law: These Terms are governed by the laws of England and Wales. Disputes are subject to the exclusive jurisdiction of the courts of England and Wales.
